Accounts & your record

›What do I get with a free account?

Your own digital service record: personal information, service history, certifications, and a regulation ribbon rack built from a catalog of federal and state awards. Every new account starts with a 15-day trial of everything. Your record belongs to you — it is not owned by any unit or organization, and it stays with you for life.

›What happens when my 15-day trial ends?

Nothing is deleted. Your record and rack stay visible and shareable. Editing unlocks again when you become a Member ($3/month) — or immediately, at no cost to you, when a subscribed unit or organization adds you to its roster (their seats cover you).

›How do I join my State Defense Force?

From onboarding, pick your force from the directory — forces marked ✓ Verified are recognized State Defense Forces — choose your unit if you know it, and submit a join request. Your force's leadership gets notified and approves you. Until they approve, you see nothing of the organization, and they see only your request.

›Who can see my personal information?

You control it. Your basic service record becomes visible to your organization when you join it. Your sensitive page — date of birth, medical details, emergency contacts — stays locked until you grant that specific organization access. They request; you approve. Consent is per-organization, never global, and location is shared only while you enable it on an active mission.

Units, rosters & invites

›How do I get my unit onto Guidon?

Sign up, then from onboarding choose Stand Up an Organization → Just my unit. You get a 30-day trial of the full command toolset — roster, orders, live map, activations, ICS paperwork — and you are the unit's Administrator.

›How do I add my soldiers?

Two ways, both from Command → Roster:

Invite Member — enter their email address. Import CSV — upload your existing roster (up to 500 rows) and everyone is invited at once.

Each invite is locked to the email it was sent to. When that person signs in with that email, they land on your roster in the unit you assigned. If they already had a Guidon account, everything they've built — record, rack, certifications — connects to your unit automatically.

›What's the difference between Administrator, Unit Admin, and Member?

These are software roles, not military titles — rank and command titles live on each person's own record.

Administrator — runs the organization's account: roster, units, billing, everything.
Unit Admin — runs their own unit: approves its members, can send orders for it.
Member — on the roster; maintains their own record and responds to orders.

Administrators can also grant individual permissions (for example “Send Orders & Run Operations” or verification authority) to any member from their roster file — so your S1 can verify records without being handed the whole organization.

›How do seats work?

A seat = one active roster member covered by your subscription. A Unit plan includes a block of seats (for example 30). During your 30-day trial there is no cap — build your full roster and see everything work. Once subscribed: when all seats are filled, you can't activate another member until you add seats, run an Activation Pass, or separate someone. Normal turnover is fine — every roster change is permanently recorded in your organization's audit log.

›A storm is coming and I need more people than I have seats.

That's the Activation Pass: a temporary seat increase for surge operations, sized to the event, without renegotiating your subscription mid-hurricane. Run it from Command → Seats.

Whole-force accounts

›How does a whole State Defense Force come aboard?

All recognized State Defense Forces already exist in Guidon with their real unit structures. Force leadership contacts us, we verify you're the real leadership, and hand you command of your force — marked ✓ Official. The Organization plan is priced per seat (200-seat minimum) and covers every unit and every soldier under your umbrella: one bill, force-wide command picture, readiness reporting up the chain.

›Can other units or organizations see our data?

No. Every organization is a sealed compartment — separate rosters, separate operations, separate maps. No organization can see another organization's anything. Within your organization, Unit Admins manage their own unit, and members' sensitive personal data additionally requires each member's consent.

›How do we get the ✓ Verified badge?

Email stevebailey130@gmail.com from your official state email address, or attach a memorandum on official letterhead confirming you represent the organization. A person reviews it — usually within one business day — and your organization shows the badge everywhere it appears.

Respond, orders & paperwork

›How do soldiers get alerted when there's an activation?

Orders land in the app the moment they're issued: a notification, a banner on every page, and push notifications on devices that have enabled them. Soldiers answer availability polls or accept orders with one tap, report en route / on scene / checked out, and command watches the whole picture live on the map.

›Does Guidon do the after-action paperwork?

Yes — generated from the live operation record, not typed at 0200: ICS-201, 203, 204, 207, 209, and 214, plus personnel time reports and a FEMA-style cost worksheet with person-hours and equipment time for reimbursement. Printable, and shareable to your EOC by link.

›Is my location tracked?

Only when you say so. Location is shared while you enable it during an active mission, is visible only to your command for that operation, and stops at stand-down or the moment you turn it off. The SOS button is the one exception — pressing it deliberately shares your position with command.

Plans & payment

›What does Guidon cost?

Individual: free 15-day trial, then $3/month to keep editing.
Unit: a seat block (e.g. 30 seats) covering every member on the roster.
Organization: per-seat with a 200-seat minimum — contact us.
Payments are processed by Stripe; unit and organization subscriptions cover their members, so covered soldiers never pay individually.
